How to Submit

Notifications of Acceptance

Notices of poster acceptance, oral presentations and travel grants are  emailed to the submitting authors on MARCH 15, 2023.  

Submitters: You may login to the system to check the status of your abstract using the link in your original confirmation email.

Presenting Author Requirements

  • Abstracts should be relevant to the main meeting’s theme. 
  • Communications will be made with the presenting author only
  • All accepted papers will be published online in the May 2023 issue of the Journal of Reproductive Immunology.

  • If your abstract is accepted for presentation, you will be required to register for the meeting to confirm your acceptance and be included in the journal proceedings. 

ABSTRACT SYSTEM

Submissions should be made by the presenting author.  If the abstract is accepted for presentation at the meeting, the presenting author is required to register and attend the annual meeting.

  2. Submit an Abstract
  3. Amend your Abstract (if needed). Once you have completed your initial submission, you may return to the system to edit your abstract at any time prior to the deadline.

Poster Requirements

All Posters will be printed on retractable, free-standing banners this year - NOT TRADITIONAL POSTER BOARDS.  See the poster banner layout graphic below for direction on how to organize your poster.


This year, to streamline the poster displays as well as provide an economical option for our poster presenters, we are partnering with an online signage company for the printing and shipping of all posters. The new format will be using retractable vinyl banners instead of traditional poster boards.  We will NOT have any traditional poster boards onsite at the meeting, so please do not arrive with a poster expecting to mount it on a display board; ALL POSTERS MUST BE ORDERED AS SPECIFIED BELOW.

$114.86 incl. poster banner, retractable base, carrying bag, and free shipping.  After the meeting, we encourage you to take your banner home with you to display in your lab.


How to Design your Poster

  1. Refer to the poster design layout (to the right) and specs (yellow section below) for how to organize your poster. Abstract numbers should be indicated on the poster itself. Posters should include the title of the abstract and the names and affiliations of the authors. 
  2. Use a minimum 15pt font size (Arial or Times New Roman preferred).
  3. Design options:
    1. If using a graphic design program: Visit eSigns and Download the Banner Template.  Create your file using these specs, then save as a PDF.
    2. If using PowerPoint, create a custom slide (see dimensions in the banner template above) then add your content. Export as a PDF
    3. Or use the Online Design Tool provided on their website (see order link below). Your design will be saved to your eSigns account under My Projects.


How to Place your Order

  1. Create an eSigns account (Tip: Do this early; they sometimes send discount promo codes to their mailing list)
  2. Place an online order by MAY 8 for FREE SHIPPING.


Production Time
Turnaround time is 1 business day for proof, plus and additional 1 business day for production once proof is approved.

We strongly suggest giving yourself a few extra days “cushion” just in case you need to make any changes to your proof.

Poster Banner File Specs

  • Download the Download the Banner Template
  • File size should match the order size.
  • File should have a proper bleed of 1/8" all around.
  • The safe zone should be considered and checked. It is 1/8" going inside the order size.
  • All important elements should be within the safe zone.
  • Colors should be converted to CMYK.
  • Resolution of the image should be 300 dpi at the final printing size.



Live Presentations

All accepted abstracts will be presented in person at the meeting as either a poster or an oral presentation. Poster presentations will compete for awards during the poster sessions.  A limited number of abstracts will be selected for short oral presentations in the breakout sessions. Six Gusdon finalists will be selected as featured oral presentations and compete for the Gusdon award during this special session.

Oral Presentations

Oral presenters will have a total of 15 minutes including Q&A for their presentation at the meeting and should prepare a PowerPoint presentation in 16:9 format with no more than 12 slides. 

Oral presenters may also have a poster display if they desire, but are not required to.

IF you are selected to present orally AND are from a country that is currently restricting your travel to the US due to Covid-19, you may contact us to pre-record your oral presentation for live playback at the meeting. Authors will still be required to register for the meeting to present their work via video (registration fee covers additional AV costs).

Gusdon Competition for Trainees

Dr. John Gusdon Memorial New Investigator Award is given annually to a new investigator with trainee status who has made a significant contribution by presenting an outstanding research paper during the annual meeting of the ASRI. This award is given in memory of Dr. John P. Gusdon, a founding member of the ASRI, and an advocate of student participation in ASRI Meetings. When you submit your abstract, please check whether you would like to be considered for the Gusdon Award and provide proof of trainee status by letter from supervisor.

Gusdon Finalists will be judged onsite during the Gusdon Award session.  Awards will be presented at the Awards Dinner on Wednesday evening.  All finalists must be present.
